Things to keep in mind when writing a job rejection email
show gratitude :-
Thank them for the offer, and take the time to get to know you, keep it a little rough, you know? Take a few sentences to say that you really admire the team, and that they have made the process smooth.
Toss in some genuine compliments, I mean they must have done something right.
Clearly denied :-
Let’s say you’ve decided to accept another offer or stay in your current role or pursue other opportunities, whatever your situation. And say that you turn down the offer. Whether you can give details or not why you are refusing is your choice.
Now make sure you explicitly state that you decline. If you say something vague like I won’t be able to get it working at the moment, they may interpret it as a lot of different things like you can’t start right away, but maybe in a few months, and it just gets messy Goes real fast.
It’s kind of like when you’re breaking up with someone and you say a phrase like it just isn’t working out and I need to walk away.
Offer to talk:-
There is an argument going on now, should I decline over the phone or email?
I guess if you have a call scheduled to give your feedback on the offer, just follow these steps I mentioned, but over the phone. But if they give you some time to think about it and they’re just waiting to hear back, email is usually a good way to decline.
But to be classy I add to my email that if they want to discuss further, I’d be happy to set up a call. So extend that courtesy, because just like candidates, companies appreciate closure and feedback.
